The role of the Senior Executive Assistant is to provide a full suite of senior-level administrative, client-lifecycle and project management support typically for three to five Partners and/or Directors The successful candidate will work alongside the Partners and engagement team and will focus on building relationships with clients and strategic client-lifecycle activities, which may include project management . The incumbent will be working in a fast-paced environment, which requires a high degree of sensitivity and will need to be detail oriented, responsive, anticipatory and organized. 

Responsibilities will include:

  • Support Partners on the Executive Committee and/or Partners that work on multiple, complex client engagements and accounts
  • Focus on strategic partnership with Executives, Partners and their respective client teams
  • Demonstrate highly developed business acumen to focus on strategic practice management and critical thinking to anticipate internal and external client needs (e.g., independently anticipate the next step in a process, prompt the client, be resourceful and one step ahead)
  • Demonstrative creative thinking and proactively identifies opportunities for improvement such as process efficiencies
  • Act as a liaison with service area clients and is client-centric
  • Proactively drive the client life cycle with primary responsibility for meeting client deadlines with quality deliverables
  • Act as an ambassador of Executives and Partners to chair and facilitate committees and leadership meetings
  • Provide support with strategic project management, as required
  • Demonstrate leadership skills with stakeholders
  • Anticipate business and client-service needs, demonstrating resourcefulness and out-of-the-box thinking
  • Proactive calendar management with respect to client events, business-related activities, travel management without minimal input and direction
  • Develop executive presentations, consolidate and generate reports, as required
  • Provide streamlined and focused client lifecycle support such as expense reporting and billings
  • Work collaboratively with other support teams in Business Operations, leveraging appropriate firm resources to manage, own and minimize administrative tasks

The successful candidate will have the following:

  • Minimum 8-10 years of customer service and/or administrative experience (experience supporting Executives is an asset) in a professional, customer-service driven and fast-paced environment
  • Exceptional commitment to client service and continuous improvement
  • Ability to deal with highly confidential information, diplomacy, conciliation and discretion are all vital in this role
  • Demonstrated ability to prioritize tasks based on comparative importance and urgency
  • Ability to identify areas for improvement and execute changes as necessary
  • Ability to work with minimal supervision and direction
  • Excellent verbal and written communication skills
  • Strong attention to detail
  • Effective decision-making ability
  • Confident communication and active listening skills are critical
  • Excellent interpersonal skills and a demonstrated ability to build effective relationships and work collaboratively in a team environment
  • Demonstrated enthusiasm for continuous learning relevant to the role
  • Advanced-level knowledge of common industry software such as Microsoft Office (Word, Excel, Outlook, PowerPoint), Adobe Acrobat
  • Bilingualism (English and French), written and spoken, is an asset
  • Flexibility to work overtime, if required
