The members of the Business Operations team possess a practical body of knowledge that is applied in the delivery of office support.  It includes jobs in the areas of procurement, mailroom, security, concierge, delivery and distribution, reception, records, telecommunications, hoteling resource management and facilities management.  The Business Operations role draws upon knowledge of the specific function discipline and the organization's business practices to provide services to ensure the safe, efficient and effective operation of the organization. The Business Operations group is seeking a Facilities Coordinator for our Toronto area offices.


Position Overview

The Facilities Coordinator is responsible for working with the Facilities Specialist and various service delivery teams to oversee maintain and ensure the smooth and efficient day-to-day operations of Deloitte’s offices.


This role includes, but is not limited to the following primary duties:


  • Coordinates, oversees repair and maintenance work assignments performed by technicians, vendors and contractors performing building maintenance, etc.
  • Assists with floor inspections/walk-through (incl. workspace/service bay, elevators etc)
  • Liaises with cleaning vendors for cleaning of common areas (e.g., kitchen, coffee areas) and furniture, and coordination of specialized intensive cleaning requests
  • Reviews work orders to ensure that assignments are completed, reporting to Facilities Specialist
  • Obtains and reviews price quotes for the procurement of parts, services and labor for projects
  • Monitoring of plant maintenance program
  • Liaise with building and general contractors for general building maintenance (all GTA offices)
  • Support and assistance with RFP tender processes and timelines, etc.
  • Utilize internal ticketing software to monitor and resolve requests and issues
  • Coordinate furniture repairs.
  • Track and maintain inventories
  • Manage service requests e.g. freight elevator deliveries, after-hour access, shredding (incl. shredding vendor liaising)
  • Oversees day to day activities of reactive and preventative maintenance programs, facility inspections, providing analytics / data to Facilities Specialist for review
  • Monitors and maintains all technology equipment owned and operated within our offices (ex. mailroom equipment, owned Print Centre equipment, etc.)
  • Coordinates desk allocations if assigned, people relocations, new hires, departures, packing or unpacking assistance, movers coordination.  Overall assignment of storage drawer allocations.
  • Assist with Renovations/Build-Outs, retrofits in the downtown core.
  • Assist with any internal/inter-office moves in the downtown core.  Such as moving bins, labels, coordinate movers, elevator bookings, coordinate relocation deficiencies, special requests.
  • Implements required updates and changes to Business Operations digital content locations
  • Assist with business continuity and health and safety programs
External Posting Qualifications
  • 1-2 years work experience in a facilities environment is an asset
  • Intermediate level knowledge of Microsoft Word, Excel, and Outlook
  • Excellent verbal and written communication skills
  • Excellent customer service skills

  • Flexible shifts to work between 7:00 AM to 11:00 PM, and possible weekends.

  • May be required to work in all Toronto-region locations
  • This position may require overtime
