Deloitte is looking for an Event Coordinator to join our National Events team and help bring impactful corporate experiences to life across Canada.
What will your typical day look like?
You will play a key role in powering national events behind the scenes by supporting logistics, stakeholder coordination, event systems, vendor partnerships, and operational processes. You will learn from and shadow experienced event planners while gradually taking ownership of smaller events and projects. This role is ideal for someone starting their career in events who is highly organized, detail-oriented, and eager to develop planning skills in a fast-paced, collaborative environment.
The Coordinator, National Events is a key member of our team, and your main responsibilities include:
- Assist Event Specialists and Managers in the planning and execution of large-scale events, providing onsite, day-of-event support to ensure seamless delivery.
- Independently manage smaller events, handling all aspects of venue sourcing, vendor contracting, food & beverage arrangements, and AV coordination.
- Support vendor and venue sourcing activities, maintain the national preferred vendor list, and ensure accurate vendor records and compliance with clearance requirements.
- Serve as the first point of contact for new event requests by managing the shared mailbox and responding promptly to stakeholder inquiries.
- Oversee the end-to-end event intake process, including conducting discovery calls, assigning planners, and maintaining up-to-date calendars, dashboards, and Cvent records.
- Ensure accurate and timely entry of event data in Cvent, and assist with event reporting, analytics, and the generation of actionable data insights.
- Facilitate contract execution and manage vendor payment processes, including online purchase order creation, invoice tracking, and reconciliation of high-volume expense reports.
- Collaborate with Finance to resolve payment issues and support year-end accrual processes; partner with internal teams such as Legal, Procurement, Risk Management, and others to ensure compliance with firm policies.
- Maintain and organize cloud-based systems (e.g., OpenText), including folders, records, templates, and regularly update team’s playbook and workflows; act as content manager for the intranet page to ensure all tools and processes are current.
- Coordinate internal team meetings, including scheduling, preparing agendas, and supporting presentation development.
- Proactively support continuous improvement initiatives aimed at enhancing event processes, tools, and overall operational efficiency, making suggestions and brining creative solutions.
- Provide ad hoc administrative support to Senior Managers as required.
About the team
You will be part of a collaborative, high-energy team that delivers engaging events for our people, clients, and communities.
