What will your typical day look like?
• Coordinate conference room logistics for internal and external clients, ensuring a high standard of hospitality through efficient setup, teardown, and arrangement of furniture or equipment as needed;
• Manage catering set-up for meetings and events;
• Oversee the set-up, cleanup, and servery duties for all meeting rooms to maintain a professional and hospitable environment;
• Maintain overall cleanliness and organization of workspaces to promote a welcoming atmosphere;
• Clean and restock coffee areas, including filling and emptying the dishwashers and replenishing supplies (milk, sugar, paper towels, coffee etc.) and refilling coffee machines as needed to ensure consistent hospitality for staff and guests;
• Monitor and manage office supplies inventory to ensure adequate stock;
• Provide support for office maintenance requests, including coordinating with onsite vendors;
• Respond promptly and professionally to requests from internal and external clients;
• Participate in the Health & Safety program, including responsibilities as a Fire Warden, First Aid provider, and Joint Health & Safety Committee ‘JHSC’ member and
• Perform other related duties and clerical tasks as assigned.
Back up coverage for the following services:
• Reception Services;
• Mailroom Services;
• Conference room booking and catering coordination.
The standard work schedule will be from 8:30am to 5:00pm. Variable schedule depending on needs.
About the team
The members of the Workplace Services team possess a practical body of knowledge that is applied in the delivery of office support. It includes jobs in the areas of procurement, mailroom, concierge, delivery and distribution, reception, hoteling resource management, and facilities management. The Workplace Services role draws upon knowledge of the specific function discipline and the organization's business practices, providing services to ensure the organization's safe, efficient, and effective operation.
Enough about us, let’s talk about you
You are someone with:
• Minimum of 2 years’ experience in a customer service or hospitality environment;
• Strong commitment to client-service, with a demonstrated ability to respect firm and client confidentiality and exercise discretion in sensitive matters;
• Intermediate proficiency in Microsoft Word, Excel, and Outlook;
• Proven ability to build excellent interpersonal relationships and work effectively within a team;
• Professional attitude and demeanor;
• Bilingualism (English and French) considered an asset;
• Excellent verbal and written communication skills;
• Strong attention to detail;
• Ability to lift 40 pounds;
• Demonstrated ability to prioritize tasks based on importance and urgency; and
• Experience working with professionals in a fast-paced environment with often tight deadlines.
Total Rewards
The salary range for this position is $33,000 - $60,000, and individuals may be eligible to participate in our bonus program.
