The successful candidate will need to be enthusiastic, have an agile mentality, and possess specialized technical knowledge to provide exceptional administrative support for many services. What will your typical day look like?

The Administrative Services team provides internal support to the business. The role includes, but is not limited to, following responsibilities: 

  • Outlook contacts v-card creation
  • Excel data entry, calculations and reports
  • Concur expense reports
  • Travel arrangements, incl. airfare, hotel, car rentals, visa requests
  • File repository management
  • Transcription services
  • Creating surveys through Qualtrics
  • Business card orders
  • Basic internet research
  • PDF document assistance
  • Client Relationship Management (CRM) database update
  • Basic document edits

Main responsibilities of the position


  • Produce quality work in a fast-paced environment, meeting deadlines and client expectations for quality and accuracy.
  • Collaborate and communicate directly with internal clients in order to produce effective and accurate work.
  • Complete associated administrative tasks.
  • Work closely with other Administrative Services professionals to share best practices.

About the team

The Business Operations, Shared Services team is foundational to the success of the firm as it relates to quality client service delivery. The role of the Shared Services Professional is to complete incoming internal client service requests through a shared services model. In order to provide seamless client delivery, the Shared Services Professional will action assigned service requests aligned to the competency centre that they support.

You are someone who has:

  • minimum 3 years experience in a professional, fast-paced and deadline-driven environment
  • Advanced level knowledge in Microsoft Excel, Microsoft Word, Microsoft Outlook, Adobe
  • Exceptional commitment to client service and continuous improvement
  • Ability to learn processes at an accelerated pace
  • Excellent verbal and written communication skills
  • Strong attention to detail
  • Exceptional interpersonal skills with demonstrated ability to build relationships with clients and colleagues at all levels
  • Proactive and highly organized with an exceptional ability to multi-task
  • Ability to respond to requests in a timely manner
  • Demonstrated enthusiasm for continuous learning relevant to the role
  • Due to the nature of the role having interactions with National & Global clients, bilingualism in French and English is required for this position.
